How MaxOptra Helped Primaflow F&P Handle 3,000 orders per day

About Primaflow F&P

Primaflow F&P is the UK’s largest wholesaler of plumbing, heating, and bathroom products, distributing over 20,000 products to independent merchants, DIY outlets, and general retailers. Their mission is to “Simply Deliver More” by providing fast, reliable, and flexible delivery solutions.

With 10 depots and over 100 vehicles, Primaflow F&P plans around 3,000 orders per day – a scale that requires an efficient, technology-driven route planning solution.

The challenge

Before implementing MaxOptra, Primaflow F&P faced several operational challenges:

  • Manual Route Planning: Routes were manually planned by a single individual at each depot, a time-consuming process that took 3-4 hours per day.
  • Knowledge Dependency: Routing expertise was tied to a small number of key employees, making operations vulnerable in the event of staff absence.
  • Inefficient Static Routes: Fixed delivery routes resulted in unnecessary fuel usage and suboptimal vehicle deployment.
  • Scalability Issues: The growing volume of daily orders made manual planning unsustainable.

These inefficiencies increased operational costs, impacted customer service, and limited business growth.

The solution

Primaflow F&P needed a dynamic route planning solution to optimise their daily deliveries. After researching different options and receiving a recommendation from their sister company, they chose MaxOptra for the following reasons:

  • Real-Time Optimisation – A dynamic system that could reduce planning time and improve delivery efficiency.
  • Custom Integration – A bespoke two-way integration with Kerridge K8 ERP, designed specifically for Primaflow’s requirements.
  • Scalability – The ability to handle thousands of daily orders across multiple depots.
  • Ease of Use – Training new staff on MaxOptra now takes just weeks instead of months, improving recruitment and reducing onboarding time.
  • Responsive Team – MaxOptra’s dedicated support team provided fast, effective assistance throughout the process.

Since its implementation in May 2023, Primaflow F&P has planned over 875,000 orders using MaxOptra and is on track to reach 1 million orders in the coming months.

The results

Since implementing MaxOptra, Primaflow F&P has seen a dramatic improvement in its logistics operations. By streamlining route planning, reducing reliance on manual processes, and optimising fleet usage, the company has not only saved time but also cut costs and improved overall efficiency.

“MaxOptra has completely transformed our route planning process. It’s easy to use, highly responsive, and has saved us significant time and costs. The support team is outstanding – even when our main contact was away, we still received excellent service. We can’t recommend it enough!”

Primaflow F&P is now working on integrating customer tracking and electronic proof of delivery (ePOD) through MaxOptra and their partner integrations.

Bespoke Kerridge K8 ERP Integration

A bespoke two-way integration with Kerridge K8 ERP, designed by MaxOptra specifically for Primaflow’s requirements and allowing for a 2-way data flow.

The future for Primaflow

Primaflow F&P continues to evolve its logistics strategy and is considering big plans for the future including:

  • Potential expansion of MaxOptra Usage: They are considering upgrading their MaxOptra package to enhance final-mile capabilities, including ePOD and customer communications.
  • Customer-Facing Tracking: There is also the potential to introduce real-time order tracking – which would make Primaflow F&P one of the first in the plumbing and heating distribution sector to offer such a service
  • Advanced Transport Analysis: Primaflow is discussing additional MaxOptra partner integrations to compare planned vs. actual routes, identifying inefficiencies and improving operational performance.

With MaxOptra, Primaflow F&P is leading the way in B2B logistics innovation, ensuring customers receive fast, efficient, and optimised deliveries.

“We are delighted to count Primaflow F&P amongst our valued customers. This collaboration reflects both our commitment to delivering effective route optimisation solutions and Primaflow’s dedication to innovation and efficiency.

By implementing MaxOptra, Primaflow has enhanced their logistical capabilities, reducing planning time and costs, whilst improving service delivery. It’s a great example of how forward-thinking strategies can improve logistics performance, and we look forward to supporting their ongoing evolution in the sector”
